1. What a Deal Is, and the Two Ways to Use It
Think of a Deal as a single card that holds everything about one opportunity: the contact’s details, its value, who owns it, any proposals, and the onboarding form the client fills in. As you make progress, you move the Deal through a series of stages.
1.1 Deal stages
Every Deal sits in one stage at a time. The stages, in order, are:
| Stage | Meaning |
|---|---|
| Open | A new enquiry. The Deal has been created but nothing has been sent yet. |
| Proposal Sent | A proposal document has been sent to the client. |
| Proposal Signed | The client has accepted/signed the proposal. |
| Onboarding Form Sent | The onboarding link has been emailed to the client. |
| Onboarding Form Completed | The client has submitted their onboarding details. |
| Won | The opportunity was successful and the client is on board. |
| Lost | The opportunity did not go ahead. |
Note
Some stages update automatically, for example, sending the onboarding link moves the Deal to “Onboarding Form Sent”. You can also set the stage yourself on the Deal.
1.2 Two common workflows
Depending on the client, you will follow one of two paths after creating the Deal:
Note
Path A, with a proposal: • Enquiry (call or email) → Create Deal • Sync the customer (creates them as a client in Proffa) • Generate and send a Proposal → client signs • Send the onboarding link → client completes onboarding → Won
Note
Path B, onboarding only (no proposal): • Enquiry (call or email) → Create Deal • Sync the customer • Send the onboarding link straight away → client completes onboarding → Won
Both paths start the same way, create the Deal and sync the customer. The only difference is whether you send a proposal before collecting onboarding details.
2. The Deals List
The Deals list is your pipeline overview. Each Deal appears as a card showing its name, contact, company, value, expected close date, owner and current stage.

| Field / Control | Description |
|---|---|
| Create Deal | Starts a new Deal (top-right). See Section 3. |
| Onboarding Submissions | Opens the list of all onboarding forms clients have submitted (top-right). See Section 9. |
| KPI chips | Quick counts at the top: Total, Active, Won, Overdue and Form completed. |
| Stage filters | Filter cards by stage (Open, Proposal Sent, Proposal Signed, Onboarding Form Sent, Onboarding Form Completed, Won, Lost), or by All, Active or Overdue. |
| Search | Find a Deal by contact name, company or deal name. |
| Refresh | Reload the list from the server. |
| Deal card | Click a card to open the Deal. Each card also has Edit and Delete buttons. |
Tip
“Active” means every Deal that is not yet Won or Lost. “Overdue” highlights Deals whose expected close date has passed and are still active.
3. Creating a Deal from an Enquiry
Why this matters
The moment a prospect calls or emails, creating a Deal captures the enquiry so nothing slips through the cracks, and it becomes the home for everything that follows (proposal, onboarding, notes and emails).

To create a Deal:
- 1On the Deals list, click Create Deal.
- 2Fill in the Contact Information fields (see the table below). Fields marked * are required.
- 3Choose the Stage (a new enquiry is usually “Open”) and the Responsible User who owns the Deal.
- 4Click Save / Create Deal. Proffa confirms and opens the saved Deal so you can continue.
Deal fields:
| Field / Control | Description |
|---|---|
| Contact Name * | The person you are dealing with, e.g. James Patel. |
| Company Name | Their business name, e.g. Patel & Associates (optional). |
| Phone | Best contact number, e.g. +64 21 123 4567. |
| Email * | The client’s email, required, and used later to send the onboarding link. |
| Deal Name * | A short title for the opportunity, e.g. “Annual Accounting Package”. |
| Deal Value * | The expected value in NZD. Enter a positive number. |
| Expected Close Date | When you expect to win the Deal (drives the Overdue flag). |
| Stage * | The current stage (see 1.1). |
| Responsible User * | The team member who owns the Deal. |
Important
Creating Deals is limited by your subscription (max deals per month). If you reach the limit, Proffa shows an upgrade prompt linking to Settings → Billing.
4. Working a Deal, the Deal Workspace
Opening a Deal shows a workspace with a stage-progress tracker at the top and four tabs. You will spend most of your time on the Deal Information tab.

| Field / Control | Description |
|---|---|
| Deal Information | The contact details, customer sync, proposal and onboarding actions. |
| Notes | Internal notes about the Deal, call summaries, reminders, context. |
| Email History | A log of emails sent from the Deal (e.g., the onboarding link). |
| Proposals | The proposals generated for this Deal and their status. |
5. Step 1, Sync the Customer
Why this matters
Syncing turns the enquiry contact into a proper client record in Proffa. This is required before you can generate a proposal or send the onboarding link, because both are tied to the client record.

On the Deal Information tab, find the client-sync panel and:
- 1Make sure the Contact Name and Email are filled in and the Deal is saved.
- 2Click Enable Client Sync.
- 3Proffa creates the client and shows “Client synced to Proffa” with a Client ID and the date it was synced.
Tip
Once synced, editing the Deal’s contact details and saving will also update the linked client record in Proffa, so the two stay in step.
Optional, Sync to Dragon: if your practice uses the Dragon accounting system, a Sync to Dragon action creates or updates a matching account there for this contact.
6. Step 2 (Path A), Create a Proposal
If this opportunity needs a proposal, generate one after syncing the customer. (If you are not sending a proposal, skip to Section 7.)
Why this matters
The proposal is the formal offer your client reviews and signs. Generating it from the Deal links it to this opportunity and to the synced client automatically.

- 1On the Deal Information tab (or the Proposals tab), find the Generate Proposal panel, it appears once the customer has been synced.
- 2Click Generate. Proffa opens the proposal builder for this client.
- 3Build and send the proposal (covered in the Proposals manual).
- 4Back on the Deal, the Proposals tab lists the proposal and its status; the Deal stage moves to “Proposal Sent”, then “Proposal Signed” once the client accepts.
Note
The Generate Proposal panel only appears after the customer is synced (Section 5). If you don’t see it, sync the customer first.
7. Step 3, Collect the Onboarding Details
Whether or not you sent a proposal, the final step is collecting the client’s onboarding details using the onboarding form you set up in Settings → Onboarding Template.
Why this matters
The onboarding form gathers everything you need to take the client on, their details, documents and signature, in one structured submission you can act on.

7.1 Generate and send the link
- 1On the Deal Information tab, make sure the Deal is saved and the Contact Name is filled in.
- 2Click Generate Link. Proffa creates a unique onboarding link for this client.
- 3Use Copy Link to copy it, or click Send Onboarding Link to email it directly to the client’s email address.
- 4On Send, confirm with Send Email. Proffa emails the link and moves the Deal to “Onboarding Form Sent”.
Note
If the onboarding form includes file-upload fields, Proffa checks you have enough storage on your plan before generating the link.
7.2 The email the client receives
When you click Send Onboarding Link and confirm, Proffa sends the email on your behalf and records it on the Email History tab. The client does not need a Proffa account, everything happens straight from the email.
| Part of the email | What it contains |
|---|---|
| From | Your company, the sender name is the company name set in Settings → Company Settings. |
| Subject | “Complete Your Onboarding Form”. |
| Greeting | The client is addressed by their contact name. |
| Action | A button / link the client clicks to open their onboarding form. |

Tip
The link is unique to this client and Deal, each client gets their own private form, so submissions never get mixed up.
Sending a reminder: if the client hasn’t completed the form, open the Deal and click Send Reminder. Proffa emails a follow-up titled “Reminder #1: Complete Your Onboarding Form” (the number increases with each reminder you send), and every send is logged on the Email History tab.
7.3 How the client fills in and submits the form
Why this matters
This is the client’s side of onboarding. Because the link opens the form directly with no login or password, it is quick and easy for them, which means you get the details back sooner.
From the client’s point of view:
- 1They click the link (or button) in the email, which opens the onboarding form in their web browser, no login or password is needed.
- 2The form is titled with your template name and shows the instruction “Please fill out all required fields marked with an asterisk (*)”.
- 3They complete the fields, typing answers, choosing from dropdowns, picking dates, uploading documents (such as ID) and adding a digital signature wherever the form asks for them.
- 4They click Submit Form. Proffa checks that every required field, including any required file uploads, is completed before it accepts the form.
- 5On success they see a “Thank You!” confirmation showing the submission date, a summary of the information they entered, and a list of any documents they uploaded.

Note
Each form can be submitted only once. If the client re-opens the link after submitting, they see their completed submission instead of a blank form, so they cannot accidentally submit twice.
As soon as the client submits, the Deal automatically moves to “Onboarding Form Completed” and your team is notified, so you know the details are ready to review.
7.4 After the client submits, reviewing the details
Once the form is in, review what the client sent and act on it.
- 1Open the Deal and use View Details to see the client’s submitted answers.
- 2Download the completed form as a PDF if you need a copy for your records.
- 3If something needs correcting, an admin can adjust the submitted answers, or use “Ask to fill again” to request a fresh submission.
8. Notes & Email History
Two supporting tabs help you keep the full story of a Deal in one place.
| Field / Control | Description |
|---|---|
| Notes tab | Add internal notes, e.g., what was discussed on a call, next steps or reminders. Notes are visible to your team, not the client. |
| Email History tab | Shows the emails Proffa has sent from this Deal, such as the onboarding link, with timestamps, so you can confirm what was sent and when. |

9. Onboarding Submissions
Why this matters
This is the single place to review everything clients have submitted across all Deals, answers, signatures and uploaded documents, without opening each Deal individually.

| Field / Control | Description |
|---|---|
| Submissions list | Every onboarding form clients have submitted, with the deal/client it belongs to. |
| Download attachments | Download files the client uploaded (e.g., ID documents). |
| Signature | View the client’s digital signature and the date signed. |
| Export | Export the submissions list for reporting. |
| Ask to fill again | Request the client to complete the form again if details need correcting. |
10. Editing, Deleting & Moving Deals
- Edit, click a Deal card (or its Edit button) to open and change any detail, then Save.
- Change stage, open the Deal and set the Stage field; some stages also update automatically as you send proposals and onboarding links.
- Mark Won / Lost, set the stage to Won when the client is on board, or Lost if the opportunity ends. These drop out of the Active and Overdue filters.
- Delete, use the Delete button on a Deal card (or in the Deal) and confirm. This removes the Deal permanently.
Important
Deleting a Deal cannot be undone. If you might need it later, consider marking it Lost instead of deleting.
