    Privacy Policy

    Last updated: June 2026

This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to the Proffa website and product.

    1. Who we are

Proffa is a platform that helps professional services firms create proposals, collect digital signatures, and onboard clients. This Privacy Policy explains how we collect, use and protect personal information when you use our website and product.

In this policy, “we”, “us” and “Proffa” refer to the operator of the Proffa service. If you have any questions, you can contact us at support@dragonhill.ai.

    2. Information we collect

We collect information in a few ways:

    • Account information you provide, such as your name, email address, company details and password.
    • Content you create in Proffa, including proposals, client records, letters and onboarding form submissions.
    • Information your clients provide when they review, sign or complete forms you send them.
    • Usage and device information collected automatically, such as IP address, browser type and pages visited.
    • Payment information, which is processed by our payment provider. We do not store full card numbers.

    3. How we use information

    We use personal information to:

    • Provide, operate and improve the Proffa service.
    • Create and deliver proposals, letters and onboarding forms on your behalf.
    • Send service messages, such as notifications, reminders and account updates.
    • Provide customer support and respond to your requests.
    • Keep the service secure and prevent misuse.
    • Meet our legal and accounting obligations.

    4. Sharing of information

We do not sell your personal information. We share information only with service providers who help us run Proffa (for example, cloud hosting, email delivery and payment processing), and only to the extent needed to provide the service.

We may also disclose information where required by law, or to protect the rights, property or safety of Proffa, our customers or others.

    5. Storage and security

Your documents and data are stored on Microsoft Azure. We apply technical and organisational measures designed to protect personal information against loss, misuse and unauthorised access.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your information using industry-standard practices.

    6. Cookies

Our website uses cookies and similar technologies to keep you signed in, remember your preferences and understand how the site is used. You can control cookies through your browser settings, though some features may not work without them.

We use Google Analytics to measure how visitors find and use this website. It sets cookies and records information such as the pages viewed, the approximate location the visit came from, and the device and browser used. You can prevent this with Google's opt-out browser add-on, or by blocking cookies in your browser.

    7. Your rights

Depending on where you live, you may have the right to access, correct, delete or export your personal information, and to object to or restrict certain processing. To make a request, contact us at support@dragonhill.ai and we will respond in line with applicable law.

    8. Data retention

We keep personal information for as long as your account is active and as needed to provide the service. If you close your account, we retain information for a limited period to meet legal, accounting and security obligations, then delete or anonymise it.

    9. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the date at the top of this page and, where appropriate, notify you.
